  5.                              General Description
  6.       
  7.          SwimBase is designed to simplify and automate the records and
  8.       reports required for a Swim Team. SwimBase will keep the swimmer
  9.       rosters and results for each meet. Roster reports, mailing labels,
  10.       telephone lists, events results, swim team ladder and time in water
  11.       are some of the reports that can be generated by SwimBase. The data
  12.       entered can be reviewed, modified or deleted at any time. All
  13.       reports can be directed to the computer screen for review, printed,
  14.       sent to a disk file for storage, transfer or modification with a
  15.       word processing program. 
  16.       
  17.          SwimBase is an easy to use, menu driven program. Most menus and
  18.       prompts are self-explanatory with little or no use of the manual
  19.       required. All data is entered into forms with context sensitive
  20.       help available at any time for each field. These help prompts will
  21.       give an explanation of the required data and, where appropriate,
  22.       the allowable input range. Any out of range data input will result
  23.       in error requestors explaining the problem and the opportunity to
  24.       correct the offending field.
  25.       
  26.          SwimBase can be configured by the user to support teams using
  27.       USS, NF or USMS rules. The user can set up any combination of
  28.       events, event groups, names, swimmer ages, groups and points.
  29.       SwimBase will record the results of the meet and allow numerous
  30.       reports to be generated on any set of data entered.
  31.       
  32.          This new version of SwimBase now includes meet management
  33.       functions which will allow you to use SwimBase to simplify the
  34.       management for your meets. It can help you prepare for the meet by
  35.       helping select the swimmers for each event, preparing meet entry
  36.       cards and printing a meet entry sheet. It can help you run your
  37.       meet dual by allowing the input of the other teams' swimmers and
  38.       the keeping track of finish times and scoring the individual events
  39.       and the meet as it progresses. After the meet is complete you can
  40.       print ribbons for either or both teams. Optionally, the results of
  41.       the meet can automatically update the SwimBase data files. 
  42.       
  43.          The design of SwimBase will allow the results of multiple
  44.       seasons to be stored and the team roster from previous years to be
  45.       moved forward each year with automatic updates to the swimmers' age
  46.       and group. The data from previous years can be reviewed at any time
  47.       for comparison to the current years results. 
  48.       
  49.          The standardized reports from SwimBase will allow simplified
  50.       comparisons of the results between different teams within the same
  51.       division or league or even teams in different leagues. 
  52.       
  53.          The reports from SwimBase can be set to include just a single
  54.       meet, all meets of a particular type or all meets. The results can
  55.       be sorted by sex, age or name. The results for swimmers can be
  56.       generated for individual swimmers, for all swimmers or selected by
  57.       sex.

  59.          Results are kept of all event entries so not only are the
  60.       results of swimmers that finish in the top, point scoring, spots
  61.       available but all other finishes along with all disqualifications,
  62.       no shows, exhibitions and substitutes. It is possible at any time
  63.       to summarize all the results of all the events any swimmer was
  64.       scheduled for at any time.

  66.                              Manual Organization
  67.       
  68.          This manual is organized in the order that the menus, screens
  69.       and requestors are most likely to be displayed by the first time
  70.       user. Each Menu, Form or Requestor is displayed and then followed
  71.       with a brief explanation of each of the elements within it. If you
  72.       are trying to locate a particular menu or requestor then use the
  73.       index with the menu or requestor heading as input.

  79.                        System Requirements
  80.       
  81.       
  82.          The recommended hardware and system requirements
  83.       for SwimBase are:
  84.       
  85.              IBM PC/XT/AT or compatible with at least 512K available RAM
  86.               Memory.
  87.       
  88.              Any monitor capable of a 80 column text display.
  89.       
  90.              Any floppy drive with a hard disk drive. It is possible to
  91.               run on a system with 2 720K or larger floppy drives but
  92.               this is not a recommended configuration.
  93.       
  94.              MS/PC DOS 3.0 or later, IBM OS/2 2.0/1 or MS Windows 3.0/1.
  95.       
  96.              80 or greater column text printer (optional for reports)

  98.                              Program Limitations
  99.       
  100.          The program limitations for SwimBase are:
  101.       
  102.              Maximum Seasons on a disk: 50
  103.       
  104.              Maximum Meets in a season: 50
  105.       
  106.              Maximum Swimmers in a Season: 511
  107.       
  108.              Maximum Entries in an Event: 99
  109.       
  110.              Longest time for an event: 59:59:99 (mins:secs:huns)

  116.       Installing SwimBase
  117.       
  118.       
  119.       1. Check the disk where you will be installing SwimBase to be sure
  120.       that there is at least 720K free memory. This can be checked by
  121.       using the DOS CHKDSK command ('CHKDSK C:' as an example to check
  122.       the C: drive).
  123.       
  124.       2. In order to start the installation you will need the SwimBase
  125.       distribution disk in a floppy drive or the SwimBase distribution
  126.       files 'UNZIPPED' into a directory. See the files SETUP.DOC and
  127.       PACKING.LST for more information about what files to expect and
  128.       what purpose each file serves. Start the INSTALL program by
  129.       entering the full path and install program name:
  130.       
  131.            (If in the A: floppy drive)             A:\INSTALL
  132.       
  133.            (If in the C:\DOWNLOAD directory)       C:\DOWNLOAD\INSTALL
  134.       
  135.       3. You will be prompted for an INSTALL FROM directory, this should
  136.       in all normal circumstances be the same location as the INSTALL
  137.       program and default to the proper location. If the SwimBase files
  138.       are in a location different from the INSTALL program you should
  139.       enter that directory now.
  140.       
  141.       4. You will be prompted for an INSTALL TO directory. You can select
  142.       the default by pressing enter or you can edit the directory as
  143.       required. Some suggestions for legitimate directories:
  144.       
  145.                           C:\SWIMDATA
  146.                           C:\PROGRAMS\SWIMDATA
  147.                           D:\SWIMDATA
  148.                           C:\SWIM1993
  149.                           B:\SWIMDATA
  150.       
  151.       If the directory does not exist it will be created. Note that the
  152.       INSTALL program will not create multiple levels of the directory.
  153.       For the second example to work the directory C:\PROGRAMS must
  154.       already exist.
  155.       
  156.       If you are upgrading an existing version of SwimBase that is at
  157.       least version 1.60 then you should follow steps 1 through 5 for
  158.       upgrading SwimBase versions 1.60 or later (see Upgrading SwimBase)
  159.       and then specify the same directory as the SwimBase version 1.6x
  160.       directory. 
  161.       
  162.       If you are upgrading a SwimBase version 1.40 or earlier you will
  163.       need to specify a new directory. SwimBase 2.00 cannot read the
  164.       version 1.40 or earlier files.
  165.       
  166.       5. You will now press ENTER to start the installation of the
  167.       SwimBase program files. You can skip this step by entering 'N'.
  168.       
  169.       6. You will now press ENTER to start the installation of the
  170.       SwimBase Manual files. You can skip this step by entering 'N'.
  171.       
  172.       7. You will now press ENTER to start the installation of the
  173.       SwimBase Document files. You can skip this step by entering 'N'.

  214.                              Upgrading SwimBase
  215.          
  216.                      From SwimBase version 1.60 or later
  217.       
  218.          If you are updating from SwimBase version 1.60 then follow
  219.       these steps if you want your current Season, Meet and Swimmer files
  220.       to be updates to version 2.00. Note that once this is complete
  221.       these files will not be accessable with the version 1.60 program.
  222.       
  223.       1. Make a backup copy of all your existing SwimBase files.
  224.       
  225.       2. Start the old version 1.60 program by typing SWIM.
  226.       
  227.       3. Select 'Set or Change Defaults' from the Main Menu and be sure
  228.       that 'SKIP DB Audit' is set to 'N'.
  229.       
  230.       4. Select ALT/A or the 'About SwimBase" menu selection and be sure
  231.       the Data Disk Free Memory has at least 100,000 bytes. If it is less
  232.       than this than you cannot update your old files. You can Import the

  234.       swimmer information.
  235.       
  236.       5. Quit from SwimBase.
  237.       
  238.       6. Copy the new version SWIM.EXE file to the location of the old
  239.       version.
  240.       
  241.       7. Start the program by typing SWIM.
  242.       
  243.       8. Enter 'y' to convert events requestor.
  244.       
  245.       9. Select 'Set or Change Defaults' from the Main Menu and be sure
  246.       that 'SKIP DB Audit' is set to 'N'.
  247.       
  248.       10. Use 'Select Active Season' to select each season you have
  249.       defined in order to convert the files to the new format.
  250.       
  251.                     From SwimBase version 1.40 or earlier
  252.       
  253.          SwimBase Version 2.00 can not read the data base files from
  254.       versions prior to 1.60. If you need to update your files then you
  255.       must load version 1.6x as a intermediate step before loading 2.00.
  256.       Version 1.65 is available from the author for a moderate shipping
  257.       and handling fee.
  258.          
  259.                            Setup Technical Review
  260.       
  261.          The SWIM.EXE file is the main program file for SwimBase. This
  262.       program file contains the main program and the program overlay
  263.       files. When SwimBase is started the main program is loaded and then
  264.       is run from RAM memory until the program is exited. As different
  265.       program options are selected the SWIM.EXE file will be
  266.       automatically accessed to load the necessary overlays into memory.
  267.       For this reason the SWIM.EXE file must stay accessible. While this
  268.       is not a problem for hard drive users it does mean that if you
  269.       start SwimBase from a floppy drive that floppy must remain loaded.
  270.       
  271.          As soon as SWIM.EXE loads it will search the same directory
  272.       that SWIM.EXE is in to find the system defaults which are contained
  273.       in the file DEFAULT.DTA. If DEFAULT.DTA is not found then it will
  274.       be created in that directory.
  275.       
  276.          After this is loaded then the event data files, EVENT.DTA and
  277.       EVENT.ORD are loaded. These files must be located in the program
  278.       directory (the same directory SWIM.EXE is in). If EVENT.DTA is not
  279.       located then it will be created. You can use the 'Modify Event
  280.       Definitions' menu to define your events. If you have modified the
  281.       default age group setting then an additional setup file,
  282.       AGEGRPS.DTA, will be located in the program directory and loaded to
  283.       define your age groups.

  285.                           Hard Disk Setup
  286.  
  287.              The program, SWIM.EXE, should be loaded in a subdirectory,
  288.         recommended name, C:\SWIMDATA, and then the Season and data files
  289.         kept in this same directory. Using the defauls from the INSTALL
  290.         program will result in this configuration.

  292.                       Dual Floppy Disk Setup
  293.  
  294.              To use this setup you must have at least 2 floppy drives
  295.         each with a capacity of 720K or more.
  296.  
  297.         1. Use the INSTALL program to install the program on a floppy.
  298.         See INSTALL.DOC for floppy installation.
  299.  
  300.         2. Put the Program files disk in  drive A: and a blank, formatted
  301.         floppy in drive B:.
  302.  
  303.         3. Start the program by typing A:\SWIM.
  304.  
  305.         4. Answer N to 'Directory Open Failure' requestor.
  306.  
  307.         5.  Enter directory for the data disk, 'B:\SWIMDATA' is recommended
  308.  
  309.         6. Be sure the data disk is in drive B: and press return.
  310.  
  311.         7. Press Y to create directory.
  312.  
  313.         8. When program starts select 'Set or Change Defaults'  and enter the
  314.         directory from step 5 as the data PATH default.
  315.  
  316.         9. Each time you are  ready to use the program place the program disk
  317.         in drive A: and the data disk in drive B: and then type A:\SWIM.
  318.  
  319.                                  Menu Usage
  320.       
  321.          The basic use of all menus is the same. The up and down arrow
  322.       keys are used to move within the menu or by pressing the first
  323.       letter of a menu item it can be jumped to. The selection is picked
  324.       by pressing the ENTER key. On the menus that can span more than one
  325.       screen full of data such as the swimmer requestor the Page Up and
  326.       Page Down keys move a page at a time rather than a item at a time.
  327.       The ESC key will return to the previous menu or selection or exit
  328.       the program from the opening menu. The ESC key is consistent
  329.       throughout the program to cancel the current selection.
  330.       
  331.          There are 3 special keys that are active in any menu. ALT/C
  332.       (holding down the ALT key and pressing C) will open a time
  333.       calculator window. This calculator will allow you to add, subtract
  334.       and divide time in minutes:seconds:hundreds format. See the manual
  335.       section on the Time Calculator for details. ALT/A (holding down the
  336.       ALT key and pressing A) will open the 'About SwimBase' window with
  337.       memory usage statistics. ALT/D will shell out (exit) to DOS. This
  338.       DOS shell will allow any DOS commands or actions to be taken. You
  339.       can return to SwimBase at the point you left by entering 'EXIT' at
  340.       the DOS prompt.

  364.                                 Opening Menu
  365.       
  366.          This is the initial menu presented when SwimBase is started.
  367.       All functions of SwimBase are accessed through this menu. Exiting
  368.       this menu quits SwimBase and returns control back to the operating
  369.       system.
  370.       
  371.       1. Select Active Season
  372.       
  373.               This selection will present the Season Select Requestor
  374.          with a list of all defined seasons. Pick the season that will
  375.          contain the data to be used for this session. Most operations
  376.          within SwimBase are done to the data in a particular season.
  377.       
  378.       2. Define New Season
  379.       
  380.               This item is used to define a new season. Before any
  381.          operations can be done on meets, swimmers or events the season
  382.          in which they are to exist must be built. When this is selected
  383.          you will be presented 2 forms. The first will allow you to
  384.          choose a name for the season and the second will build the
  385.          information about the season. These forms are discussed in
  386.          greater detail elsewhere.
  387.       
  388.       3. Remove Existing Season
  389.       
  390.               This selection will delete a season. Note that all data
  391.          associated with this season will be deleted. The swimmers,
  392.          meets and events will be gone. In normal usage there will be no
  393.          reason to delete a season. Old seasons should be retained for
  394.          review in the future.

  397.       4. Archive Season Data
  398.       
  399.               This selection will allow you to make a backup copy of a
  400.          season or restore a previously created backup. Regular backups
  401.          should be made to avoid data loss in case of a system failure.
  402.          A full description of these options is contained within the
  403.          description of the Archive menus and forms.
  404.       
  405.       5. Set or Change Defaults
  406.       
  407.               This selection will present a form that allows several
  408.          configuration parameters to be set. These parameters are fully
  409.          explained in the Default Data form description.
  410.       
  411.       6. Change Data Disk
  412.       
  413.               If the program is kept on a separate disk from the data
  414.          then after starting the program use this selection to tell the
  415.          program where to look for the data. A Drive/Path Selection Form
  416.          will be presented into which you will enter the drive letter to
  417.          locate the disk. If you will be using the same disks and
  418.          directories each time then you can set the data path in the Set
  419.          Defaults form.
  420.       
  421.               This selection can also be used to change the directory
  422.          that contains the Seasons you wish to work with. This would be
  423.          used if you kept different directories for different Seasons or
  424.          teams.
  425.       
  426.       7. Modify Event or Age Grps
  427.       
  428.               This selection can be used to create, modify, view or print
  429.          the Event or Age Group definition files. See the manual
  430.          sections on Event Definitions or Age Group Definitions for
  431.          further details. 
  432.       
  433.       8. Import Season DataBase
  434.       
  435.               This selection is used to copy the swimmer data base from
  436.          one season to another. The swimmer roster records will be
  437.          transferred to the new season and the age and group fields
  438.          updated according to the date of the new Season. This selection
  439.          will only import the swimmer records, no meet or event data is
  440.          imported. The data in the old season is not modified.
  441.       
  442.       9. About Swim Data Base
  443.       
  444.               This selection presents a short description and copyright
  445.          notice along with the version number and date and the unique
  446.          serial number for this program. Also included are details on
  447.          active program and data paths, free Disk, Ram and Stack memory
  448.          and Ram Heap integrity. This selection can be used to determine
  449.          the amount of free disk space on your data disks.

  490.       
  491.          This is the form used to enter season data. The field
  492.       descriptions are as follows:
  493.       
  494.       1. Team Name
  495.       
  496.               This is the name or base location of the team. This
  497.          information will appear on any reports generated from data in
  498.          this season.
  499.       
  500.       2. Other Info, Division
  501.       
  502.               This field contains additional information about the team
  503.          or season to be entered. It also will become part of the header
  504.          of any reports about this season.
  505.       
  506.       3. Start Date
  507.       
  508.               This is the date of the first meet of the season in
  509.          Month/Day/Year (MM/DD/YY) format. The year from this field is
  510.          used to calculate the swimmers' age and group information.

  514.       
  515.               This is the date of the last meet in the season. This is
  516.          for informational purposes only.
  517.       
  518.       5. Number of Meets
  519.       
  520.               This is the number of meets in the season. It is also for
  521.          informational purposes only. If you define more meets than you
  522.          specified here it will not cause any problems.
  523.       
  524.       6. Age Basis (M,J,C,F)
  525.       
  526.               This entry will set the date that is used for the basis of
  527.          calculating the age and age group for each swimmer. When 'M'
  528.          (Meet) is used the swimmers' age and age group will be set
  529.          relative to the selected meet start date. 'C' (Current) will
  530.          set the age relative to the current date. 'J' (July 1) will set
  531.          the age relative to July 1st of the year the Season starts. If
  532.          the Age Basis is set to 'F' (Fixed) then the date that the
  533.          swimmer's age will be set relative to is taken from the Age Up
  534.          Date field.

  536.       7. Age Up date
  537.       
  538.               If the Age Basis is set to 'F' then the swimmer's age will
  539.          be set relative to this date. If the Age Basis is anything else
  540.          this date will be ignored.
  541.       
  542.               See the 'Age Up Swimmer Data' selection in the 'Swimmer
  543.       Setup Menu' to reset the swimmers' age and age group as the
  544.       season progresses.

  573.       and ask for a Yes/No confirmation that you really intend to delete
  574.       this season or meet. If anything other than Y is entered the
  575.       process is canceled and you are returned to the menu.

  577.          If Y is entered the second requestor will appear and you will
  578.       need to enter the season or meet name to complete the deletion. If
  579.       this name isn't entered correctly then the process is canceled. If
  580.       the correct name is entered then the season or meet will be
  581.       removed.

  603.          This requestor is used by several other menu items to allow the
  604.       choice of a particular season. A list of all seasons is presented
  605.       and you can chose any season or cancel the operation by either
  606.       selecting Cancel Select or pressing the ESC key. The action taken
  607.       after selecting a season will depend on what menu you were in when
  608.       this menu appeared. The list of seasons will be sorted
  609.       alphabetically and if more than 12 seasons exist then selections
  610.       for next page and last page will be included.

  629.                          DataBase Maintenance Menu

  632.          This menu is used to determine if the data is to be archived
  633.       (saved from the active files to a backup copy) or restored (moved
  634.       from the backup copy to the active copy). The Archive data
  635.       selection should be used as a matter of routine. The Restore Data
  636.       selection should only be used in times of data base corruption or
  637.       to share a data base among different systems.
  638.       
  639.          You can choose to archive the Swimmer, Meet or Event data to
  640.       the same destination or use separate floppy disks for each. As your
  641.       data grows you may need to use different disks for each. When you
  642.       restore the data the program will restore whatever data is present
  643.       on the floppy to the program disk. If you archived all 3 to the
  644.       same disk then all 3 will be restored. If you only did 1 then that
  645.       is all that will be restored.
  646.       
  647.          If you are planning to use the Import/Export Meet Data
  648.       functions then you may want to use just the Archive Swimmer Data
  649.       selection to insure that the Swimmer data files are identical on
  650.       the 2 systems that will be sharing data. See the manual section
  651.       describing the Import and Export functions for further details.

  703.          This form enters default data about your system, printer and
  704.       preferences. This data is entered once and then will remain in
  705.       effect unless changed.

  707.       1. AutoDetect Monitor
  708.       
  709.               If this is set to Y then the program will automatically
  710.          detect the presence of a color monitor and use color. In some
  711.          cases it is possible that the monitor type indicated by the
  712.          system does not match what is actually installed, this is a
  713.          common problem with portable Pcs. If this occurs then set this
  714.          to N and set the proper monitor type in the next field. You can
  715.          also force a color monitor to display in black and white by
  716.          setting this field to N and the next field to N.
  717.       
  718.       2. Color Monitor
  719.       
  720.               If you are using a color monitor then select Y for this
  721.          field otherwise set it to N. This field will not appear if
  722.          AutoDetect Monitor is set to Y. 
  723.       
  724.       3. Quick Start
  725.       
  726.               The program will display an opening banner for a few
  727.          seconds if this is set to N. To go directly to the opening
  728.          menus set it to Y.
  729.       
  730.       4. SKIP DB Audit
  731.       
  732.               The program will run a check on the integrity of the
  733.          database structures each time a season is selected if this is
  734.          set to N. This step can be skipped by setting this to Y. The
  735.          few seconds lost while the data base check (audit) is run is a
  736.          small price to pay for insurance that your data is not
  737.          corrupted.
  738.

  740.       5. Startup Password
  741.       
  742.               If you wish to require a password to access any of the data
  743.          then enter that password here. The password can be any string
  744.          of characters up to 10 in length. To remove a password once one
  745.          is entered use 'NOPASSWORD' (uppercase) as the password. Note
  746.          that you will need to know the old password to remove it.
  747.       
  748.       6. Foreground
  749.       
  750.               You can use this selection to select any one of ten
  751.          different color combinations for the menus, screens and
  752.          messages by entering a number between 0 and 9. The changes are
  753.          effective as soon as the default data form is accepted.
  754.       
  755.       7. Delete Password
  756.       
  757.               If you wish to require a password to delete data but not
  758.          one for access then set a password here. The same requirements
  759.          for removing this password apply.
  760.       
  761.       8. Background
  762.       
  763.               This selection acts the same as for Foreground selection
  764.          except it controls the window background and shading. These
  765.          colors are a subset of the Foreground colors so changing
  766.          Foreground will effect the Background.
  767.       
  768.       9. Print Extended Graphics
  769.       
  770.               Set this to Y if your printer supports the Extended or IBM
  771.          line drawing character set. The best looking reports can be
  772.          obtained with this set to Y. If the reports generated with this
  773.          set to Y have garbage in the borders and through them then you
  774.          will need to set this to N or use the Printer Setup the enter
  775.          the proper printer codes to print Extended or IBM characters.
  776.       
  777.       10. View Color
  778.       
  779.               This selection acts the same as Foreground and Background
  780.          but it controls the colors for any reports that are viewed on
  781.          screen.
  782.       
  783.       11. Printer Port
  784.       
  785.               When you reach this selection a secondary selection
  786.          requestor will open that will allow you to select which printer
  787.          port your printer is attached to. The possible selections are:
  788.          PRN for the DOS default printer port, LPT1, LPT2 and LPT3 for
  789.          the possible parallel ports and COM1 through COM4 for the
  790.          possible serial ports. If you select one of the COM ports you
  791.          will need to define the port parameters (Baud, bits etc.)
  792.          before starting SwimBase. See the DOS MODE command for details.
  793.       
  794.       12. Carriage returns
  795.       
  796.               SwimBase sends a linefeed (new line or LF or 0A) at the end
  797.          of each line when it generates any printed reports. Most
  798.                                   Page 15
  799.          printers will convert this linefeed to a linefeed/carriage
  800.          return pair. If your reports run off the right edge of the
  801.          paper it is probably because your printer does not follow this
  802.          convention. Changing this field to Y will send both a linefeed
  803.          and a carriage return to the printer.
  804.       
  805.               On a HP Laserjet the appearance of this problem is the
  806.          first line of the report will print and then the rest of the
  807.          page will be blank. Changing this field to Y will cure this
  808.          problem.
  809.       
  810.               Alternatively, Using '1b 26 6b 32 47' as the printer setup
  811.          for a HP Laserjet will cause the printer to follow the standard
  812.          LF to LF/CR conversion.
  813.       
  814.       13. Printer Setup
  815.       
  816.               This is the string that will be sent to the printer before
  817.          any thing is printed. The string needs to be entered as
  818.          hexadecimal characters with each character separated by a
  819.          space. An example would be '1b 7 1'. Most printer manuals use
  820.          hexadecimal in the reference section. 
  821.       
  822.       14. PATH =
  823.       
  824.               If the data files are going to be kept in a directory
  825.          different from the directory with the program file 'SWIM.EXE'
  826.          then set the directory PATH here and the program will
  827.          automatically use those files. The path can be entered as
  828.          either a full or relative path name. Some examples of
  829.          legitimate full pathnames would be:
  830.          C:\SWIMDATA
  831.          C:\DATA\SWIMDATA
  832.             Examples of relative pathnames:
  833.          SWIMDATA
  834.          MYDATA
  835.               Please note that changes entered here are not immediately
  836.          active. To start using the new PATH you must either select
  837.          'Change Data Disk or Path' for the Opening Menu or Exit and
  838.          restart SwimBase.

  840.       15. Use NO Age Groups
  841.       
  842.               If your league does not differentiate swimmers by their
  843.          ages then set this selection to 'N'. With this set to 'N' then
  844.          all reports and selections will be made without reference to
  845.          the swimmers' age or age group.
  846.       
  847.       
  848.       16. Use 7 Age Groups
  849.       
  850.               SwimBase has two sets of default age groups available if
  851.          you don't use the Modify Events or Age Grps selection from the
  852.          Opening Menu to custom define your age groups. These defaults
  853.          are to use either 5 age groups or 7 age groups. If this field
  854.          is set to N then the available age groups are: 8 & U, 9 - 10,
  855.          11 - 12, 13 - 14 and 15 - 18. If set to Y then the groups are:
  856.          6 & U, 8 & U, 9 - 10, 11 - 12, 13 - 14, 15 - 16 and 17 - 18. A
  857.                                   Page 16
  858.          'SENIOR' group is also available.
  859.       
  860.               This selection will not appear if you have defined your own
  861.          age groups or you have selected to use no age groups.
  862.       
  863.       17. Each Meet has Event File
  864.          
  865.               This selection when set to 'Y' will allow each meet to have
  866.          different numbers of finishers scoring points and different
  867.          points assigned to each place. When selected the 'Main Menu'
  868.          will include a 'Modify Event Definitions' selection where the
  869.          Meet specific values are defined. Refer to the Main Menu for
  870.          details.
  871.           
  872.       18. Keep Records
  873.       
  874.               You can keep details of both league and team records,
  875.          including the swimmer name, date and location, for all events.
  876.          Set this to 'Y' if you wish to keep this level of detail. See
  877.          the 'Record Detail Form' for a more complete description of the
  878.          data retained.

  882.       20. Meter Factor
  883.       
  884.               If your league swims some meets in pools measured in meters
  885.          and others in pools measured in yards and you want to normalize
  886.          the reports to show all times as meters or yards then you can
  887.          enter the Yard to Meter and Meter to Yard multiplier factors
  888.          here. A suggested yard to meter factor would be 1.11 and a
  889.          meter to yard factor would be 0.901. If there is any entry in
  890.          these fields then any reports will allow an option of reporting
  891.          in Yards, Meters or As Entered.

  901.          The initial setup of your event definitions can have a large
  902.       impact on how well SwimBase will fulfill your requirements so
  903.       before starting to define your events you should take some time to
  904.       understand how events are handled by SwimBase.
  905.       
  906.          As an example let's say that there are 4 events used in your
  907.       league. These are:

  932.          When you are entering event results you will enter the Event
  933.       Number (IE: 5 or 6a) and SwimBase will store the data under the
  934.       internal event number.
  935.       
  936.          The order that the events will appear in reports or if the
  937.       event will appear in the report at all is determined by the
  938.       internal event numbers. 
  939.       
  940.          The steps that we would follow to setup the events for this
  941.       example are:
  942.       
  943.       1. Select 'Modify Event Definitions' from the 'Opening Menu'.
  944.       
  945.       2. Select 'Modify Globals' from the 'Modify Events' menu.
  946.       
  947.       3. Enter '1' as the 'Lowest Event' and '4' as the 'Highest Event'.
  948.       The value for 'Lanes Scoring Points' will come from your league
  949.       rules. It is the number of places that are awarded points. If the
  950.       first 4 finishers are awarded points then enter 4 for this field.

  954.       enter the internal number of the first event we are defining ('1')

  958.       Definition #001 Details' form and complete the rest of the form
  959.       using the 'Event Input Form' for details of each of the fields in
  960.       the form.

  962.       6. Repeat steps 4 and 5 for each of the remaining events.

  964.          Please refer to this simple 4 event example to better
  965.       understand the Event Setup Description that follows.

  967.       Event Setup Description

  969.          When 'Change Event Definitions' is selected two data files,
  970.       EVENT.DTA and EVENT.ORD, will be created or modified if they exist.
  971.       The information contained in these files are the names, points per
  972.       place, maximum points for the event, age group, event type, point
  973.       basis, team or individual, output order and the start and end event
  974.       numbers. There can be up to 256 events defined. This file is used
  975.       by the SWIM main program and needs to be in the SWIM program
  976.       directory.

  1019.       meet the Event File is for. From this menu you can change the
  1020.       definitions of the individual events, the number of events and
  1021.       output order of the events, the team and league record details, the
  1022.       swimmer age groups and the event points. The selections within the
  1023.       two menus will be described together.

  1025.       1. Review Events
  1026.       
  1027.               This selection will produce the Event Definitions report.
  1028.          This report will provide details of how your events are
  1029.          currently defined. Refer to the 'Event Definitions' report for
  1030.          details.

  1032.       2. Modify Events
  1033.       
  1034.               This selection is used to modify the details of a single
  1035.          event. When selected you will first be asked for which event
  1036.          you want to modify (use the internal event number to select)
  1037.          and then will complete an event definition form. See the
  1038.          'Modify Event Form' for details of the fields within this form.
  1039.          If this is the individual meet event form selected from the
  1040.          Main Menu then you will only be able to modify the points for
  1041.          the events. All other changes are done from the Opening Menu
  1042.          Modify Events.

  1044.       3. Modify Globals
  1045.       
  1046.               This selection is used to change the high and low event
  1047.          number and the number of places scoring points. See the 'Modify
  1048.          Globals Form' for details of the fields within this form.

  1052.               This selection is used to set the order of events in any
  1053.          reports or to build reports that exclude certain events for the
  1054.          report. See the 'New Event Order' form for details on the

  1078.          meet it is possible to build a file that will simplify the

  1131.               This is the internal number for this event. It will not

  1137.          event. This is the number (it can be alpha, numeric or mixed)
  1138.          that you will enter when referencing this event.

  1140.       8. Event Name

  1142.               This is the name of the event. Note that because of the
  1143.          amount of information in this report the event name is limited
  1144.          to 30 characters. In the reports and event forms the full 36
  1145.          characters of the event name are retained.

  1149.               This is the Event Time, either S for short (9:59:99 or
  1150.          less) or L for up to 59:59:99.

  1159.               This is the age group for this event. If you select to not

  1165.               This is the event group for this event. This field is used
  1166.          for selecting this event in reports. The possible choices are
  1167.          freestyle, backstroke, breaststroke, butterfly, individual
  1168.          medley, free relay, medley relay or don't care.

  1171.       
  1172.               This field determines the point accumulation type to be
  1173.          used for this event.

  1185.          meet in the Swim Meet Management selection. If either team has
  1186.          a swimmer entered in an event and no swimmer finishes in the
  1187.          points then this value is applied.

  1191.               This is the distance for this event. This selection is used
  1192.          to select particular events for reporting purposes.

  1197.          place, 1st through nth. The number of places that will appear
  1198.          here depends on the setting of the Finishers Scoring value.

  1215.       3 to 16.

  1217.       1. Lowest Event

  1219.               This is the internal event number of the lowest event used.
  1220.          This number can range from 0 to 254 and must be at least 1 less
  1221.          than the Highest Event number. From the setup example this
  1222.          would be a '1'.

  1224.       2. Highest Event
  1225.       
  1226.               This is the internal event number of the highest event
  1227.          used. This number can range from 1 to 255 and must be at least
  1228.          1 more than the lowest event number. From the setup example
  1229.          this would be a '4'.

  1233.               This is the number of finishers that can be awarded points

  1360.          event to 9:59:99. The major effect of this selection is during
  1361.          data input the time can be input with 1 character for the
  1362.          minutes and some reports will report only a single character
  1363.          for the minutes value.
  1364.       
  1365.       8. Event Distance
  1366.       
  1367.               This entry is for the length of the event. You will enter
  1368.          the distance and either a 'Y' or a 'M' for yards or meters. The
  1369.          line above this selection will show the allowable input
  1370.          distance number as you input this field. A proper entry would
  1371.          be 100M with no space between the distance and the M.
  1372.       
  1373.       9. 1st place (2nd, 3rd, 4th, 5th ... 16th)
  1374.       
  1375.               This is the number of points accumulated for each finishing
  1376.          place. Depending on your setup anywhere from 3 to 16 places may
  1377.          appear here. 
  1378.       
  1379.               If you are changing the event definition file for an
  1380.          individual meet (accessed through the Main Menu) this will be
  1381.          the first field that you will enter. This field and the next 3
  1382.          will be the only ones available for modification.

  1384.       10. Scoring basis

  1386.               This determines how this event is handled for individual
  1387.          and team point accumulation. If the event is considered a TEAM
  1388.          event then no points will be shown for the individual swimmers
  1389.          on the swimmer reports. The possible selections are 'I' for an
  1390.          Individual event, 'B' for an event that will accumulate points
  1391.          for both the individual and the team and 'T' for team only
  1392.          points.

  1394.       11. Maximum Team Points
  1395.       
  1396.               This is the maximum points that the team can earn in this
  1397.          event.

  1399.       11. Minimum Team Points

  1401.               This is the minimum points that the team can earn in this
  1402.          event. This is only used in the Swim Meet Management, Score
  1403.          meet selection.

  1405.       11. Team Rec., League Rec. and AllStar Time

  1526.                            Swimmer Age Group Form
  1527.       
  1528.          This form is used to define the age groups for your team if you
  1529.       can't use the 2 predefined sets. The groups are numbered from 0
  1530.       through 15. The description is the text that will appear on any
  1531.       reports that are age group specific. You can use any characters
  1532.       that you like but you are limited to 7 characters. The low age and
  1533.       high age fields give the range of ages that will be swimming in
  1534.       this group. The gender can be 'B' for both or 'F' for female or 'M'
  1535.       for male. Act determined if this group is active, 'Y' for yes and
  1536.       'N' for no. In actual usage the age groups are searched from the
  1537.       top (group 0) looking for a group that meets the age range, gender
  1538.       and is active. In cases of an overlap the first age group will be
  1539.       selected.
  1540.       
  1541.          As is the case with the event definitions, each age group has
  1542.       an internal number that is used in other records referring back to
  1543.       a particular age group. If you have entered data with the first age
  1544.       group as '8 and Under' and then change the first age group to '6
  1545.       and Under' you have in effect changed all records that were 8 and
  1546.       U to 6 and U. It is important to set the age groups up properly
  1547.       before you start entering meet results.
  1548.       
  1549.       1. Group n Description
  1550.       
  1551.               This is the textual description that will appear any time
  1552.          that this age group is referred to in any forms or reports. You
  1553.          are limited to 7 characters.
  1554.       
  1555.       2. Low Age
  1556.       
  1557.               This is the lowest age that will be in this age group. The
  1558.          value can be anywhere from 1 to 99.
  1559.       
  1560.       3. High Age
  1561.       
  1562.               This is the highest age that will be in this age group. The
  1563.          value can be anywhere from 1 to 99.

  1565.       4. Gender
  1566.       
  1567.               This is the gender of this age group. It can be 'B' for
  1568.          both, 'F' for female or 'M' for male.

  1572.               This determines if this group is active, 'Y' for active and
  1573.          'N' for inactive. It is possible by having this on for some
  1574.          meets and off for others to combine age groups for certain

  1578.          could define both groups and if you do an 'Age Up' with them
  1579.          both active then swimmers would be placed in 6 and U or 8 and
  1580.          U. For a meet that combines these two groups by setting
  1581.          Active=N for the 6 and Under and doing another 'Age Up' the
  1582.          swimmer would be all placed in the 8 and Under group.

  1709.          entered when the season was created to be changed with the

  1780.          This entry is used to remove a meet. The Meet Select Requester

  1960.       enter meet results on more that one PC and then combine the results
  1961.       into a single data base.

  1965.       or by gender for the actual meets and the data keepers for each
  1966.       group have their own PC either at the meets or input the data
  1967.       afterwards.

  1969.          While it is possible to use these functions to combine multiple
  1970.       meets into one meet on the same PC the process flow will describe
  1971.       the steps necessary to enter data on 2 PCs and then move the data
  1972.       from PC 'B' to PC 'A' inorder to have a complete database on PC
  1973.       'A'.
  1974.       
  1975.                          Import/Export Process Flow
  1976.       
  1977.          The first step is to install the SwimBase program on 2 PCs. For
  1978.       simplicity, the program should be installed in the same directories
  1979.       and drives on both PCs. Please observe the program license
  1980.       restrictions when using SwimBase on multiple computers.
  1981.       
  1982.          One PC should be considered the 'Primary' , the other the
  1983.       'Secondary' for this process. The individual swimmer data should be
  1984.       entered and kept updated on the primary PC. When it is time to use
  1985.       the secondary PC this swimmer database must be copied from the
  1986.       primary. There are 2 simple ways to accomplish this task. If you
  1987.       are familiar with the DOS XCOPY command you can copy the SEASON
  1988.       subdirectory from the primary PC to the secondary PC (be sure to
  1989.       use the XCOPY /s option). The other method is to use the SwimBase
  1990.       ARCHIVE process to archive the swimmer data to a floppy and then
  1991.       use the ARCHIVE process on the secondary PC to restore this data.
  1992.       The swimmer data (files SWIMMER.DTA and SSWIMMER.DTA) must be
  1993.       identical for the import and export processes to work.
  1994.       
  1995.          When the swimmer data is properly loaded onto the secondary PC
  1996.       you can then define the meet that you will be using. If you use the
  1997.       XCOPY command it is possible to copy all the meet data along with
  1998.       the swimmer data.
  1999.       
  2000.          Enter the data onto the secondary PC as you normally would,
  2001.       either directly through the event data entry screens or through the
  2002.       meet management functions. When you are complete then use the
  2003.       EXPORT selection to copy the data to a floppy disk. Select EXPORT,
  2004.       then select the floppy that you will be using to transport the
  2005.       data, now select the meet to EXPORT. At this point the meet data
  2006.       will be copied to your floppy disk.
  2007.       
  2008.          Transport the EXPORT floppy to the primary PC and select
  2009.       IMPORT, select the IMPORT floppy drive, select the name of the meet
  2010.       that was exported from the secondary PC, then the meet on the
  2011.       primary PC to receive the exported data. You can decide to import
  2012.       only selected genders or age groups. The data will now be moved
  2013.       into the meet selected.

  2029.       reasonableness. If no errors are found then the window will close
  2030.       after a few seconds. If a Swimmer error is encountered you will be
  2031.       given an opportunity to edit the swimmer record.
  2032.       
  2033.          Generally, Meet errors are not correctable and Swimmer errors
  2034.       are correctable. The best course of action in response to any error
  2035.       is to restore the archived season data. (You did archive your data
  2036.       didn't you?)

  2062.          This menu is accessed from the main menu and controls the entry
  2063.       of swimmer data. All data specific to an individual swimmer is
  2064.       entered or modified through this menu.

  2068.               This selection is used to add a new swimmer to the data
  2069.          base. See the Swimmer Entry Form for an explanation of each
  2070.          field. The program keeps track of each swimmer by assigning a
  2071.          number to the swimmer upon entry into the program. This number
  2072.          is selected by the program and will be used during other entry
  2073.          processes to refer back to this swimmer. The program is limited
  2074.          to 511 swimmers in any given season.
  2075.       
  2076.       2. Change Data for Swimmer
  2077.       
  2078.               This selection is used to change any data about a swimmer.
  2079.          You will select which swimmer to change from the swimmer
  2080.          selection requestor.
  2081.       
  2082.       3. Delete Data for Swimmer

  2084.               This selection will delete a swimmer from the data base. 
  2085.          You will select which swimmer to delete from the swimmer
  2086.          selection requestor. If any event results have been entered for
  2087.          the swimmer then they will be deleted along with the swimmer.

  2091.               This selection allows you to review the swimmer data. One
  2092.          swimmer at a time will be displayed in the data entry form. You
  2093.          can not edit the data in this form.

  2099.          each swimmer. The date used as the basis for this recalculation

  2102.          you will select a Meet and the swimmers' age will be set to the
  2103.          start date of that meet. If 'C' was selected then the age will
  2104.          be set relative to the current system date. If 'J' was selected

  2106.          the Season Start date. If 'F' was selected then the age will be
  2107.          set relative to the date set for the AgeUp Date.

  2274.          The time calculator can be accessed from any menu by pressing
  2275.       ATL/C (press the letter C while holding down the ALT key). You can
  2276.       use it to do simple time addition, subtraction and division.
  2277.       Pressing ESC when no times have been entered or when the calculator
  2278.       has been cleared will return to the menu that you entered the
  2279.       calculator from. Pressing ESC when there is data in the calculator
  2280.       will clear the calculator. Pressing the up arrow key will move the
  2281.       Last Result to the Time field. Leave the Operation field blank to
  2282.       move the Time to the Last Result field. The range of times that can
  2283.       be used are 00:00:00 to 59:59:99 Minutes:Seconds:Hundreds.
  2284.       
  2285.          To ADD you will enter the first time into the Time field and +
  2286.       into the Operation field. The first time will be moved to the Last
  2287.       Result field, you will now enter the next time into the Time field
  2288.       and press Enter on the Operation field to add the two times.

  2290.          To SUBTRACT enter the time to be subtracted from into the Time
  2291.       field and press Enter on the Operation field. This will move the
  2292.       first number to the Last Result field. Now enter the number to be
  2293.       subtracted into the Time field and - into the Operator. The Last
  2294.       Result field will now have your result.

  2376.          This form is used to enter the results for a single event
  2377.       within a single meet.

  2379.       1. Swimmer Number
  2380.       
  2381.               This is either the number of the swimmer or a partial name.
  2382.          Use the 'Swimmer List' report from the Swimmer Roster Reports
  2383.          to get an alphabetical listing of the swimmer's with their
  2384.          numbers. The swimmer's name will be displayed after entry for
  2385.          verification. 
  2386.       
  2387.               Data entry into this field can consist of either the
  2388.          swimmer's number, up to the first 8 characters of the swimmer's
  2389.          last name or the swimmer's last and first initial separated by
  2390.          a space. If enough characters are entered to select only a
  2391.          single swimmer then the swimmer's name will be selected. If
  2392.          more than one matches then a selector is presented with each
  2393.          possibility. If you enter nothing then a requestor with all
  2394.          swimmers will be presented.
  2395.       
  2396.               As an example, for a swimmer named Harry Johmson who is
  2397.          swimmer number 86 you could enter the number '86', 'johm' from
  2398.          Harry's last name or 'J H' for Harry's initials.
  2399.       
  2400.       2. Event Number
  2401.       
  2402.               This is the Event number as defined during event
  2403.          definition. See 'Modify Event Definitions' in the Opening Menu
  2404.          for a listing of the events. This will default to the last
  2405.          event entered. If you do not wish to change it then just press
  2406.          enter. The event name will be displayed after the event number
  2407.          is entered for verification.
  2408.       
  2409.       3. Time
  2410.       
  2411.               This is the time for the event in minutes, seconds and
  2412.          hundredths of seconds. If the time you are entering is less
  2413.          that 1 minute you must enter 0 or 00 for the minutes field
  2414.          depending on the course time selection.
  2415.       
  2416.       4. Status
  2417.       
  2418.               There are 6 different statuses allowed. 'F' is used for a
  2419.          successful finish with no qualifiers. 'S' is a successful
  2420.                                   Page 45
  2421.          finish for a Substitute swimmer. 'E' is a successful finish by
  2422.          a swimmer in the event for 'Exhibition'. 'T' is for a Tie. The
  2423.          points are awarded for a tie based on the point total of 2
  2424.          places divided in half, as an example a 1st place tie would be
  2425.          the 1st and 2nd place points divided by 2 . Only 2 way ties are
  2426.          allowed. 'N' is for a No show and 'D' is for a
  2427.          disqualification.
  2428.       
  2429.       5. Finishing Place
  2430.       
  2431.               This is the swimmer's actual finishing place. Places 0
  2432.          through 99 are tracked. A place of 0 is used for cases where
  2433.          there was no finish (a disqualification for example) or when
  2434.          the swimmer wasn't actually a competitor against the other
  2435.          swimmer (swimming exhibition). Places 1 through 16 can be used
  2436.          to calculate points. The number that actually calculate points
  2437.          is set during the Event Definition Setup. The remaining places
  2438.          are kept for informational purposes only. The true place
  2439.          numbers (0 - 99) will appear on certain reports. The point
  2440.          calculations would be the same if 0 was used for all cases that
  2441.          the swimmer finished out of the points.

  2487.                           Swim Meet Management Menu
  2488.       
  2489.          This menu is used to access the meet management functions of
  2490.       SwimBase. The functions preformed here differ in several ways from
  2491.       the rest of the SwimBase program. The most important difference to
  2492.       keep in mind is that data and results entered in a Meet Entry Sheet
  2493.       are not updated into the main SwimBase Event and Swimmer databases
  2494.       until the 'Save Entries to DataBase' selection is picked.
  2495.       
  2496.          The data in the meet entry sheet can be added to, changed or
  2497.       deleted with no effect on the main database until that selection is
  2498.       used. Once it is selected then any changes in the meet entry sheet
  2499.       are not reflected in the main database unless 'Save Entries to
  2500.       Database' is selected again. Note that certain changes and
  2501.       deletions in the Meet Entry Sheet will not be correctly posted on
  2502.       the second or subsequent saves. Be sure the data in the Meet Entry
  2503.       Sheet is final before saving.
  2504.       
  2505.          Another significant difference is that data from the other team
  2506.       competing in a dual meet can be entered and their scores calculated
  2507.       or reports generated. 
  2508.       
  2509.       
  2510.       1. Add or Edit Meet Entries
  2511.       
  2512.               This selection is used to begin or continue the process of 
  2513.          setting up a individual Meet Entry Sheet. The first step is the
  2514.          calculation of a swim team ladder. If one does not exist the
  2515.          program will generate one and save it to disk. If it does
  2516.          exist, you will have the option of recalculating it. If you
  2517.          have added meet results since the last time an Meet Entry Sheet
  2518.          was defined then you should recalculate.
  2519.       
  2520.               The second step is to produce a Swimmer Best Times report.
  2521.          This will follow the same steps as the swim team ladder. After
  2522.                                   Page 47
  2523.          this is completed you will select the meet for which you are
  2524.          building the Entry Sheet. The meet must be defined before the
  2525.          Entry Sheet can be completed.
  2526.       
  2527.               The next step involves completing the Meet Entry
  2528.          Information sheet. If the information sheet exists you will
  2529.          have the option to edit it or continue to the individual event
  2530.          sheets. See the Entry Information Sheet Form for details on the
  2531.          required and optional data.
  2532.       
  2533.               The final step in preparing the entry sheet is to select
  2534.          the swimmers for each event and, optionally, heat. Each event
  2535.          can have up to 4 heats. You will select each event and schedule
  2536.          the swimmers. You can input just your teams' members or if you
  2537.          have the information you can also enter the other teams' names.
  2538.          See the Schedule Swimmers Entry Form for details.
  2539.       
  2540.       
  2541.       2. Enter Times and Results
  2542.       
  2543.               This selection is used during or after the meet to enter
  2544.          the results of each event. The swimmers' time, status and,
  2545.          optionally, place and points are entered. See the Update
  2546.          Swimmers Entry Form for details.
  2547.       
  2548.       
  2549.       3. Delete Meet Entry Sheet
  2550.       
  2551.               This selection will remove all the files associated with
  2552.          a single meets' entry sheet. If the Save Entries to Database
  2553.          selection has been used then the swimmers' data will remain in
  2554.          the main database but the Entry Sheet for this meet will no
  2555.          longer be available. Each entry sheet will consist of multiple
  2556.          files named ENTRYmm.eeh where mm is the meet number, ee is the
  2557.          event number is hexadecimal and h is the heat number and one
  2558.          file named ENRTYmm.SES. You can leave these files in the
  2559.          database or archive them off to floppy disk if you prefer to
  2560.          retain them.
  2561.       
  2562.       4. Score Meet Entry Sheet 
  2563.       
  2564.               This selection will recalculate the place and points for
  2565.          each swimmer in an event based on their finishing time and
  2566.          status in the entry sheet and the points and scoring lanes in
  2567.          the event definition file for this season or meet. It will
  2568.          calculate across multiple heats for the same event. Note that
  2569.          whatever place or points you entered will be overwritten.
  2570.       
  2571.               This selection will only generate the proper results if you
  2572.          have entered the information for both teams in a meet.
  2573.       
  2574.       5. Swimmer Entry Report
  2575.       
  2576.               This will print a detailed report for either an individual
  2577.          swimmer or all swimmers showing what events with heat and lane
  2578.          they are entered in and totaling the individual and team events
  2579.          they will swim in for this meet. See the report itself for
  2580.          details.

  2584.       6. Event Entry Report
  2585.       
  2586.               This selection will print a detailed report for 1 or more
  2587.          events showing all data currently available, including swimmers
  2588.          scheduled, lane assignments, time and finishing place. It is
  2589.          similar to the Meet Entry Sheet report but does not include the
  2590.          point calculations and cover sheet with officials and point
  2591.          totaling. See the report itself for details.

  2594.       7. Print Meet Entry Sheet
  2595.       
  2596.               This selection will produce a complete report of the meet
  2597.          entry information. It can be used as the premeet entry sheet,
  2598.          to run the actual meet with swimmer names and spaces to time
  2599.          and score the meets and as a final record of the meet results
  2600.          after the event times are entered. See the report itself for
  2601.          details.
  2602.

  2604.       8. Prepare Event Entry Cards
  2605.       
  2606.               This selection will prepare mailing labels with the
  2607.          information necessary for each swimmer to know what event, heat
  2608.          and lane they will be competing in for each meet. If their best
  2609.          time exists it will also appear on the label to allow the
  2610.          swimmer to quickly tell if their time has improved. See the
  2611.          description of the label itself for complete details.
  2612.       
  2613.       9. Prepare Meet Ribbons
  2614.       
  2615.               This selection will prepare mailing labels with the
  2616.          information necessary to prepare meet ribbons. Ribbons can be
  2617.          prepared for either team and for any range of events or numbers
  2618.          of finishing places. These labels differ from those available
  2619.          from the 'Label Format Reports' selection in that these are
  2620.          generated from the Meet Entry Sheet data.
  2621.       
  2622.       10. Save Entries to Database
  2623.       
  2624.               This selection will update the SwimBase swimmer and event
  2625.          databases with the results entered into the Meet Entry Sheet.
  2626.          Using this option is the equivalent of entering each
  2627.          individuals results in the 'Event Results, Add or Modify' menu.
  2628.       
  2629.               Before this selection is used you should insure that the
  2630.          data in the Entry Sheet is final and that all names, places and
  2631.          points are correct. If finishing times or places are changed
  2632.          then you can use this selection a second time to update the
  2633.          main databases but if a swimmer changes then the old swimmers'
  2634.          results will need to be deleted from the Event menu.
  2635.       
  2636.       11. Audit Meet Entry Sheet
  2637.       
  2638.               This selection will verify and if necessary correct the
  2639.          meet entry sheet files. When selected you will pick the meet

  2641.          that you which to validate and then each event will be
  2642.          recalculated for the proper swimmer assignments, lanes and
  2643.          number of events entered and the master entry file will be
  2644.          updated as appropriate.

  2846.          The top border of the top window shows the field headers (lane
  2847.       (LN), swimmers number (SW#) and Swimmers Name) on the left and
  2848.       which teams' lane the cursor is on to the right. The bottom border
  2849.       shows which event and heat is being scheduled.

  2851.          During input you will use the swimmers number if the swimmer
  2852.       being scheduled is from your team or just a return or 0 if the
  2853.       swimmer is from the other team. The swimmer's name will be
  2854.       automatically populated for your team and you must enter it for the
  2855.       other team. If the swimmers age is not correct for the event you
  2856.       will receive a warning window. To make this most useful you should
  2857.       run a Swimmer AgeUp before scheduling the meet.

  3029.          These 2 forms are used during the preparation of meet entry
  3030.       cards. The first form allows the entry of a short note that will
  3031.       appear on each entry card. If the note is used you will be prompted
  3032.       for a new note for each event. You can disable the note by blanking
  3033.       it out on the first event.

  3035.          The second form shows the entry card. It contains the swimmers
  3036.       name, the event, the heat number, if required, the lane, the note
  3037.       and the swimmer best and last time and date. You can select Y to
  3038.       print this label, N to skip it or D to stop asking and print all
  3039.       the labels. This label can be sent to either your printer or to a

  3180.          This is a part of the Meet Entry Sheet. The report will have a
  3181.       cover page with the parameters and other information entered in the
  3182.       Create Entry form and then as many pages as required to detail each
  3183.       event that has been scheduled.

  3185.          The header of each page will show the competing team names, the
  3186.       date and the cumulative team scores. Each event will contain the
  3187.       cumulative score and the score for that event. The HOME TEAM
  3188.       swimmer names will be capitalized.

  3190.          If the sheet is printed before the event data is entered it
  3191.       will allow places to enter the swimmers times and finish.

  3334.               These reports are designed to print on 1 up, 3 1/2 by 15/16
  3335.          mailing labels (Avery 4145 or equivalent) or to produce a comma
  3336.          delimited file (CDF) format report.
  3337.       
  3338.               The CDF files are intended to be imported to a user
  3339.          provided database or word processing program and then
  3340.          reformatted and printed. These CDF files will be left in the
  3341.          season data directory and can't be accessed or used from within
  3342.          SwimBase. The CDF file names are fixed and each new report will
  3343.          be appended to the old unless the old is deleted first.
  3344.       
  3345.               The file names are RIBBON.CDF for event ribbons and
  3346.          MAILLBL.CDF for swimmer data. The MAILLBL.CDF file contains
  3347.          almost all of the swimmers' data, not just the data that would
  3348.          normally appear on a mailing label.
  3349.

  3352.               The Meet Ribbons selected and generated here will differ
  3353.          from those available in the Swim Meet Management menus in that
  3354.          these will come from the SwimBase Meet databases whereas the
  3355.          Meet Management Ribbons will come from the Meet Entry Sheets
  3356.          which may or may not have been updated into the Meet database.

  3359.               The first label format report is a simple mailing label.
  3360.          You have the option of entering a fixed first line of text and
  3361.          then the next 3 lines will be the address information for each
  3362.          swimmer.
  3363.       
  3364.               The next 2 reports are meet ribbons. The first is used
  3365.          after the meet data is input and will generate labels with the
  3366.          swimmer, event, time, place and opponent. The second will
  3367.          generate blank labels that will simplify the manual preparation
  3368.          of ribbons during a meet.
  3369.       
  3370.               The last selection will print a test label in order to test
  3371.          and align your printer.

  3417.          This report menu is used to calculate, individually set or
  3418.       report the best time that a swimmer has obtained in any event. It
  3419.       differs from the other report menus in several ways.
  3420.       
  3421.       These differences are:
  3422.       
  3423.         The data to be reported can be entered or changed in this menu.
  3424.       
  3425.         Data from past seasons can be included. If you use 'Import
  3426.          Season DataBase' to bring the swimmers' data forward into this
  3427.          season then the Best Times for these swimmers will be retained.
  3428.       
  3429.         In all other reports the report data is updated as new event
  3430.          results are entered. That is not the case here. After entering
  3431.          event results the 'Calculate Best Times' selection will have to
  3432.          be used to update the best time data.
  3433.       
  3434.          The first four entries in this menu will be covered here, the
  3435.       last 2 are in the reports section.
  3436.       
  3437.       1. Calculate Best Times
  3438.       
  3439.               This selection will compute what a swimmer's best time was
  3440.          for each event they have competed in and what date it was swam
  3441.          and also what the most recent time was and the date it
  3442.          occurred. When selected you will have the choice of selecting
  3443.          all meets, a single meet or a single meet type.
  3444.       
  3445.               Once the data is calculated it is stored on disk and will
  3446.          be available for later review. It is only necessary to use this
  3447.          selection the first time the best time data is generated or
  3448.          when new data is entered. If data is entered for a single meet
  3449.          then only that meet needs to be selected when 'Calculate Best
  3450.          Times' is used.
  3451.       
  3452.       2. Clear Best Times, All
  3453.       
  3454.               This selection will delete the best times data for all
  3455.          swimmers on the team. The best time data for past seasons and
  3456.          this season will be removed. This WILL NOT delete any event
  3457.          results or meet data. If you are only keeping the data from a
  3458.          single season then clearing the data and then recalculating for
  3459.          all meets will restore the data. If you were keeping data from
  3460.          past seasons then that data will be lost.
  3461.       
  3462.               The primary use of this selection is to recreate the best
  3463.          time data if there have been changes made in previously entered
  3464.          event results. Remember, updating the event results does not
  3465.          automatically update the best times data.
  3466.       
  3467.       3. Clear Best Times, Swimmer
  3468.       
  3469.               This selection has the same impact on your data as the
  3470.          previous selection with the exception that it only will delete
  3471.          the data for the single swimmer that you will select from the
  3472.          swimmer select requestor.

  3746.          The following pages contain examples of some of the reports
  3747.       available. To save space these are all partial reports. The actual
  3748.       report length will vary depending on the number of swimmers, meets
  3749.       and events entered.
  3750.       
  3751.          Each time a report is requested you will be prompted for the
  3752.       output device to send the report to. Some notes for each device:
  3753.       
  3754.                                    Screen
  3755.       
  3756.          When a report is to be displayed on the screen an internal file
  3757.       viewer is used to display the report. Once the report appears on
  3758.       the screen you can move through the report by using the cursor
  3759.       control keys or jumping to a line or by searching for data. The top
  3760.       line always contains a list of the keys that can be used to move
  3761.       around and status of what line is displayed at the top of the
  3762.       screen and the total lines in the file. If the beginning of the
  3763.       line is '1 of 239' then this means that line 1 is at the top of the
  3764.       screen and the file is 239 lines long. If the second field is ????
  3765.       then the file is over 400 lines long and the entire file has not
  3766.       been read yet.
  3767.       
  3768.          The arrow keys, Page Down and Page Up , Home and End work as
  3769.       their names imply. To search for data press 'S' and then enter the
  3770.       data to be searched for. To repeat the last search press 'R'. To
  3771.       print the current page press 'P'. When 'P' is pressed then you
  3772.       enter a concurrent printing mode that will print each new page or
  3773.       line displayed until 'P' is pressed again. To print a single page
  3774.       you would press 'P' twice. Press ESC at any time to exit.
  3775.       
  3776.          One additional note about viewing reports on the screen is
  3777.       necessary. The report is built in the SWIMDATA directory and could
  3778.       use up to 100,000 bytes for a large report. For this reason you
  3779.       should avoid using a data disk that is nearly full.
  3780.       
  3781.                                    Printer
  3782.       
  3783.          The report will be sent to the printer port or device as
  3784.       selected in the default setup. The port can be changed through the
  3785.       'Set or Change Defaults' selection in the opening menu. See that
  3786.       selection for further details on the printer port and setup
  3787.       parameters.
  3788.       
  3789.          The report will be formatted for a 80 column, 66 line page.
  3790.       This is a 8 1/2 by 11 inch page with a standard size font. A
  3791.       formfeed will be sent to the printer after each page. 
  3792.       
  3793.          There are 2 selections in the Default Setup that can effect the
  3794.       printing. The first is the printer setup string and the second is
  3795.       the selection of the extended character set. See the Default Setup
  3796.       selections for more information about these 2 fields.

  3801.          You will be prompted for a file name for the report. See the
  3802.       Output Device Requestor for file naming conventions. No facilities
  3803.       are provided within SwimBase to view or modify a report once it is
  3804.       sent to a file. You can use FVIEW.EXE to view the report after
  3805.       exiting SwimBase or by 'shelling' to DOS by entering ALT/A from any
  3806.       menu.

  3809.                                    Scoring
  3810.       
  3811.          The following rules are used to calculate the point totals on
  3812.       the reports. 
  3813.       
  3814.           The point totals for each place are defined when the events
  3815.          were setup with the 'Event Definition Setup'.  
  3816.       
  3817.           The number of finishers that earn points in an event are
  3818.          defined with the 'Event Definition Setup'.
  3819.       
  3820.           The points can be defined as 'Individual', 'Team' or 'Both'
  3821.          which determines how the points are accumulated for reports.
  3822.          Team points will not appear on individual reports.
  3823.       
  3824.           Ties are scored by splitting the point total for the 2 tied
  3825.          places between the swimmers. This is reflected in both the
  3826.          swimmer and team reports. Since the tie can be with a swimmer
  3827.          from the competing team fractional points are possible. 3 way
  3828.          ties are not supported.
  3829.       
  3830.           The Meet Summary and Season Summary report scoring is limited
  3831.          to a maximum of points for a given event as setup with 'Event
  3832.          Definitions'. If more than the maximum points are scored, such
  3833.          as a 1st, 2nd and 3rd place finish, then any points above the
  3834.          maximum are discarded. The full points are reflected in the
  3835.          individual swimmer reports.

  4215.          The Time in Water report takes the times of the first 3
  4216.       finishers in each event and calculates the averages for each event,
  4217.       each meet and for the entire set of selected meets. The meets to be
  4218.       summarized in this report can be selected in three different
  4219.       fashions by using the Select Meets requestor. The first selection
  4220.       will do all meets in the season or the first ten meets if more that
  4221.       10 meets are defined. The second will select the first 5 type 'A'
  4222.       meets and the last will allow you to select which meets to
  4223.       summarize but again with a limit of 10 meets.

  4225.          NS in any field indicates that there was no result for a
  4226.       swimmer in that event and place. If only 1 swimmer from this team

  4415.          This ladder is generated not by any particular event but by the
  4416.       gender, swimmer and event age group, distance and stroke.

  4418.          The major purpose of the report is to allow the generation of
  4419.       reports that combine various events and age groups. It is possible
  4420.       to generate a report that will show you who are the best 100M
  4421.       freestyle swimmers without having to search each individual event
  4422.       and combine the results manually. 
  4423.       
  4424.          In order to generate the report you will need to select values
  4425.       from 6 selection menus. The first 2, output device and gender, are
  4426.       the same ones you have seen in many other reports.
  4427.       
  4428.          The next 2 allow you to select the age groups for this report.
  4429.       The first is the swimmers' age group at the time the report is
  4430.       generated. If Billy swum in a 10 and Under event and then aged up
  4431.       to 12 and Under a report with the Swimmer Age Group set to 10 and
  4432.       Under would not include Billy. The next is the age group of the
  4433.       event as set in the event definitions. In the same case with Billy
  4434.       he would appear if the 10 and Under event was selected because he
  4435.       did swim in it.

  4464.          This report is the best time and date and last time and date
  4465.       for each swimmer on the team. The report will include every event
  4466.       for every swimmer that has event results with 2 exceptions. It will
  4467.       not include any events where the swimmer does not have a finishing
  4468.       time, IE: a disqualification, and it will not include data for the
  4469.       relay events if these events are setup as relays in the event
  4470.       setup.

  4472.          When this report is selected you will have to option of several
  4473.       different sort methods and which genders and groups to include in
  4474.       the report.
  4475.       
  4476.          This same report is available for an individual swimmer also.

  4478.                     Custom Requirements and Enhancements
  4479.       
  4480.          Words to Go would like to hear of any requirements that your
  4481.       team or league has that are not supported by SwimBase. Depending on
  4482.       the nature of the changes they may be added into the next release.

  4488.                                Error Handling
  4489.       
  4490.          The three most likely sources of errors when using SwimBase are
  4491.       insufficient free disk space, insufficient free ram space and disk
  4492.       hardware errors. Depending on when and where the error occurs will
  4493.       determine how the error will be handled by the program. In some
  4494.       cases a warning will appear that will allow you to correct the
  4495.       error before continuing. When more serious errors occur the program
  4496.       will forbid the offending action or force the program to exit. Some
  4497.       examples with suggested corrective action follows.
